SharePoint 2013 Taxonomy


Here I do discuss about SharePoint 2013 Taxonomy and How to manage them?

What are taxonomies?

“A Taxonomy is a mechanism which Company/Organization’s users can apply to documents Or items that are held in SharePoint List and Library.”

What is a Purpose of Taxonomy?

“To provide a means to store and classify stores content”

How does it help user?

·         To Identifying how to store information?
·         To identifying where to find information?
·         Help to choose the audience of information
·         To identify the purpose of information.

When you plan a taxonomy, you must consider How and Why users may want to classify or organize the content?

Common Taxonomy:-

Common Taxonomy include the following sample classification-

·         Geography: Country, Region, Bank Location, or site.
·         Confidentiality: Public, Private, Confidential, Secrets.
·         Departments: Human Resource, IT, Manufacturing, Loan, Logistic, Finance etc.
·         Projects or Programs.
·         External Taxonomies such as vendor or customers.

What should be done in Practical?

·         You should discuss with your Partners and Stakeholders, collect their inputs, be clear with the requirements, let the Partners know what can be done and what can not be.
·         Assign the Taxonomy management to a particular team member.
·         In SharePoint 2013, we can create folksnomies using the Enterprise keyword feature.
·         A folksnomy is a more flexible way of organizing or categorizing content that users can extend without administrator intervention.

What are Custom Columns and Site Columns?

Custom Columns:

In SharePoint 2013, you can create custom column to hold information such as  Metadata or item data.
When creating custom columns you can choose the data type for the column and specify the information that the columns stores

Column Data type includes:-

·         Text Or HTML content
·         Predefined list of Choices
·         Choices that are based on an another List inside the Site Collection.
·         Numbers
·         Currency value
·         Date and Time
·         A person (or) SharePoint Group (or) Active Directory Service users.
·         An Image
·         Calculation that is based on other column values
·         A Choice from Managed Metadata term set.

Hit note: you can create Custom Columns in a specific List and Library and cannot be used for other List and Library.
                Avoid using the same column name twice while establishing Metadata and Column associations.

Site Columns:
Site Columns can be implemented at a Site Collection level and reusable in same Site Collection and Subsites as well.
You must use site columns when you add metadata properties to content types.
